SugarScene Key Features

SugarScene is:

A pre-configured, managed, internet based CRM (Customer Relationship Management) service ready for you to use to manage your business.

All you need for SugarScene:

An up to date version of an internet web browser, both Firefox and Internet Explorer are supported, and an internet connection.

Your subscription fee covers:

On-going use.

A quick start manual.

Helpdesk support during normal UK office hours.

Use of SugarScene:

The cost of SugarScene is based on the size of the server running your SugarScene. The server will go on processing your SugarScene as fast as it can but will slow down if a lot of users are using it at the same time.

For example, a small server will typically respond within a second for up to three users but if five users were using it at the same time then some users might have to wait several seconds for a response.

You can upgrade to a faster server at any time.

The system implementation is based on the concept of 'having your own server' and therefore is always available. System maintenance is done out of normal office hours and, even then, it is worth noting that the nature of the technology used is such that many changes can be made while the system is in use without any impact on users other than that new features become available.

Security and your data:

You have your own version of SugarScene with its own database, unique to you.

Although we reserve the right to access your system for administration and support purposes, your data in SugarScene belongs to you and is confidential to you. Your data is always held in the EU and is protected under the DPA (Data Protection Act). The DPA registration number for Ivy Ltd, who provide the SugarScene service, is Z1742219.

Your use of SugarScene is through an encrypted link protected by a digital certificate authenticated by a Public Internet security service (Equifax). Everyone requires a personal login and password to access the system.

The complete server is backed up every night. An off site backup of your data is taken every two hours and you can also do your own daily backup onto your own PC or laptop should you wish.

When first set up, your SugarScene has one user, who is a Manager User. Manager Users control the system, e.g. set up other users and make local copies of your data. A Manager User controls access to the system by other users and can choose to designate other users to be Manager Users so that more than one user can control the system.

What is not included:

Setting up your individual users, a Manager User can do this easily.

A separate general email facility, you will need to use your existing email solution.

Access to the Internet, you will need to use your existing Internet access solution.

SugarScene provides a selection of reports for your use and a simple to use report writer. Bespoke reports can be provided.

Consultancy is available should further assistance be required.

Termination of SugarScene:

You can terminate your use of SugarScene at any time by giving three months written notice.

Non payment of monthly fee:

SugarScene will automatically go into non-edit mode 14 days after the date on which payment should have been made. You can still access SugarScene but can no longer download your data, change existing records or create new ones.

Manager Users will receive automatic warning messages before SugarScene goes into non-edit mode providing time to rectify any errors. The SugarScene Helpdesk can restore SugarScene to normal operation in a matter of minutes once any problems are resolved.

Campaign Emails:

Campaign emails are sent overnight from 20:00 to 06:00 UK local time. Depending on the size of the email you can expect to send up to 16,000 each night. Any emails not processed in one night automatically carry over to be sent the next night.

Email campaigns can be scheduled in advance.

Fair Use Policy:

We reserve the right to suspend the campaign email service if anything you send could be classed as illegal or spam.
